Communication (Week 1 - 4)
Develop and optimize the official summit website to serve as the central information and registration portal.

Produce promotional materials, including flyers, banners, and brochures that highlight
investment opportunities and key messages.

Develop comprehensive investment opportunity brochures showcasing key projects across priority sectors.

Create engaging promotional videos and digital content for online dissemination and
conference introduction.
Marketing and Publicity (Week 5 - 12)Launch new newspaper advertisements and television commercials targeting national and
regional audiences.

Executed coordinated social media campaigns across platforms such as LinkedIn, Twitter,
Facebook and Instagram to sustain momentum and engagement.

Manage public relations to foster positive media coverage and stakeholder perception.

Coordinate professional photography and videography to document promotional activities
and content creation.
Event Planning (Week 1 - 8)Prepare and finalize a detailed, adaptable summit agenda, including keynote speeches, panel discussions, and networking sessions.

Develop and formalize Memorandums of Understanding (MOUs) for summit deal rooms to facilitate live investment negotiations.

Select and secure vendors for décor, catering, audiovisual, and technical support services.

Plan security protocols and guest management procedures ensuring safety and order
throughout the event.
Phase 2: Guest and Stakeholder Management (September - November 2025)

Participant Management (Week 2 - 12)
Administer the summit registration system via the official website, ensuring smooth user
experience and accurate data capture.

Compile and segment guest lists to target invitations effectively to CEOs, investors,
policymakers, and other stakeholders.

Draft and coordinate thematic speaker topics and panel discussion frameworks aligned
with summit goals.

Prepare and dispatch invitations through personalized emails and official communications
channels.
Phase 3: Venue and Logistics (September - December 2025)


Venue Management (Week 1 - 11)
Allocate halls and session rooms according to the agenda requirements and expected audience size.

Organizes the space layout and guest protocol to facilitate efficient attendee movement and
networking.

Oversee exhibitor stand installations and maintenance to optimize the visitor experience.

Coordinate on-site registration and welcome services, ensuring smooth participant check-in
Hospitality Services (Week 4 - 8)Coordinate hotel reservations and accommodation logistics for VIP guests, speakers, and
International visitors.

Arrange transportation logistics, including airport transfers and shuttle services.

Implement comprehensive security measures across event sites and transportation routes.

Manage catering services and auxiliary amenities, ensuring quality and timely provision.
Phase 4: Financial and Package Management (September - November 2025)

Financial Planning
Prepared detailed summit budget documentation for approval by the relevant authorities.

Establish payment processing systems to streamline participant registrations and sponsorship transactions.

Developed registration packages—Gold, Platinum, and Silver—offering varied levels of access and benefits.

Design sponsorship packages tailored to attract corporate partners and maximize funding sources.
Additional ActivitiesConduct state rating discussions with credit agencies to enhance investment credibility.

Plan investor awards recognizing outstanding contributors to Imo’s economic growth, including nomination and beneficiary engagement processes.
